Email Automation / Custom Mailing

OVERVIEW

The Custom Mailing activity allows you to send automated mails to learners enrolled in your course with the following parameters:
  1. at course enrollment
  2. # days after first access 
  3. # days after last access
  4. # days after first launch of a SCORM
  5. # days after last launch of a SCORM 
USE CASE EXAMPLE:

Employee Onboarding and Training

Scenario: Imagine you work for a large corporation with a constant influx of new employees. You've implemented an LMS to streamline the onboarding process and provide ongoing training. Email automation is used to enhance this process.

CREATING A CUSTOM MAILING

Step 1: In the relevant course, turn on editing mode and click on "Add course content." 



Step 2: Click on "Custom Mailing."



Step 3: Give your custom mailing instance a name and optional description.



Additionally, you can define common module settings and add restrictions or tags. You can always come back and edit these later. Once you're happy, you can click on "Save and display" to start creating mailings.

Step 4: Click on "Create a new mailing."



Step 5: Give your custom mailing a (1) name and define the parameters by selecting:

(2) Source: the source that will trigger the custom mailing; either course, SCORM or certificate.
If a custom certificate has been created in your course, the custom mailing feature can also be used to generate and send certificates when the conditions are met.

(3) Send mailing: the condition that must be met in order for the custom mailing to be sent.

(4) Retroactive: whether or not the custom mailing should be sent to learners who met the specified conditions BEFORE the mailing was created.  

Then, define the (5) subject line and (6) body of the custom mail. 
When creating your mail, you can use the following variables to dynamically add learners' first and/or lastnames:
  1.  %firstname%
  2. %lastname%



Once you're happy, be sure to "Enable" your mailing and click on "Create mailing."



Your mailing will now be displayed on the course home page where you can edit or delete it. You will also be able to view the associated mailing log table here.



You can use the "Create a new mailing" button to create more than one mailing in the Custom Mailing activity. Each user will however only receive one email per mailing.
